    Question Pastel Partner - How to change inventory item from service to physical item

    Hi,

    I have imported an inventory masterfile from a .csv file. I wanted to do a test on whether an item will sell for less than cost (I entered a minimum GP% in the setup) I selected the first item on the stock listing and used it in my example. I noticed that I could do a quote for less than cost (!).

    I went into the individual item's file and saw that it was marked as a service item and that area was greyed out, so I could not change it to physical item. On all the other items they were also marked as service items, but with them I have the option to change it (not greyed out).

    I have 3 questions:

    - I selected Group 002 (Inventory Goods) in the setup screen for inventory. Should all my items then not be marked as physical items (and not service items)? Could it be that it is shown as service items, because I imported the masterfile with zero quantities?

    - Why can I not change this one item's classification from service item to physical item?

    - Why did it allow me to do a quotation for less than cost if I entered a minimum GP%? Could it be because of the zero quantities?

    Just check the following:

    Go to Setup...........Inventory...........Other ........and check that the inventory group that your stock item falls in, is not marked as "service item" in the "Type" option.
    Also you can quote any price even below cost and the system will allow this. I do know though that when doing an invoice you will be alerted that the price is below cost.

    Hi Martinco,

    I have checked and the type is marked as Inventory / Physical item. Serial item is unticked...

    I am baffled...

    The group that you select under Setup...Inventory does not determine whether or not an item is a physical item or a service item.

    You need to select either "Physical" or "Service" on the individual stock item masterfile record.

    This is because there is transaction history on this stock item, whereas the other items have no transaction history yet. Pastel's audit trail integrity standards prevent you from amending the physical/service status of a stock item once there is transaction history on an item. However, with specialised software at my disposal, I can change the status for you - give me a shout if you want me to do it remotely for you.

    I have not yet tested this situation on my test data, so I stand to be corrected in saying that it could be due to the fact that the item was a service item.
